Three days at a trade fair, dozens of conversations, a stack of business cards. And two weeks later? Day-to-day work has taken over again, the contacts are sitting in a drawer, and the most interesting prospects have already spoken to your competitors.
A trade fair is one of the few occasions to meet buyers, decision-makers and partners from many countries in one place. But whether it pays off is rarely decided at the stand. It is decided before and after.
Before the fair: set goals and choose who to meet
Decide in advance what the fair should deliver: new customers in a particular country, distribution partners, contacts in a specific industry? The more specific the goal, the better you can plan.
Exhibitor lists and visitor information are a valuable source. Identify companies that match your offer and invite the right people to a meeting at your stand. One arranged meeting is worth more than ten chance encounters in the aisle.
Run focused conversations at the stand
Time at the stand is short, so it is important to find out quickly whether someone is genuinely relevant. A few simple questions work well:
- What project or requirement is on the table right now?
- Who is involved in the decision within the company?
- In what timeframe are they looking for a solution?
- What would a sensible next step be?
Write the answers down straight after the conversation, not in the hotel that evening. Short, structured notes are the foundation of good follow-up.
Prioritise contacts on the spot
Not every contact has the same potential. Sort conversations during the fair itself, for example into three groups: concrete interest with a next step, general interest, simple exchange of information. That way the team knows exactly where to start once they are back.
After the fair: follow up quickly and personally
The first few days after the fair are decisive. A personal follow-up that refers to the actual conversation has far more impact than a generic thank-you email sent to everyone. Mention the topic you discussed, send the documents you promised and propose a clear next step.
With international contacts, following up in their language shows respect and makes the decision easier.
The fair starts before the fair
Trade fair contacts become business opportunities when three things come together: targeted preparation, structured conversations and consistent, personal follow-up. Plan these steps and an expensive appearance becomes a genuine investment.
